Your new role

As an Executive Assistant, you will play a pivotal role in ensuring the smooth and efficient operation of our executive office. You will be responsible for providing high-level administrative support to our senior management, enabling them to focus on strategic initiatives and business development. This position requires a high degree of professionalism, confidentiality, and discretion, as well as the ability to manage multiple priorities in a fast-paced environment.

  • Meeting Preparation and Follow-up: Organise and prepare materials for meetings, take minutes, and follow up on action items to ensure timely completion.
  • Project Coordination: Assist in coordinating special projects and initiatives, collaborating with internal teams and external stakeholders to achieve project goals.
  • Document Management: Draft, proofread, and manage documents, presentations, and reports for internal and external use.
  • Event Planning: Plan and coordinate internal and external events, such as conferences, team-building activities, and client meetings.
  • Confidentiality and Discretion: Maintain the highest level of confidentiality when handling sensitive information and matters.
  • Travel Management: Arrange complex travel itineraries and accommodation for executives and prepare detailed travel itineraries.
  • Expense Management: Process expense reports and manage executive budgets, ensuring timely and accurate submissions.
  • Stakeholder Management: Act as a point of contact between executives, internal teams, and external partners, ensuring effective communication and relationship management.
  • Office Management: Assist in managing office supplies, equipment, and other administrative needs as required.

What you'll need to succeed
  • Proven experience as an Executive Assistant, Personal Assistant, or similar role, preferably within an engineering, manufacturing, or technical environment.
  • Excellent organisational and time-management skills with a keen eye for detail.
  • Strong communication and interpersonal abilities, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
