Overview
  • An organisation established by the Department for Transport is seeking a Project Support Officer to assist with the coordination, tracking, and reporting of a transition/integration programme. This role is crucial in laying the groundwork for smooth programme execution, significantly impacting the overall success of the programme outcomes.
What you'll need to succeed
  • Maintaining the project management environment including task, risk and assurance registers. As well as handling any issues that arise.
  • Maintaining the programme intranet area.
  • Maintaining comprehensive programme documentation, plans, and report.
  • Working with and supporting project leads, to establish the setup of reporting requirements and governance.
  • Analyse risks and opportunities and handle them appropriately
  • Attending meetings and assist with taking of and distributing notes, minute and tracking the states of actions.
  • Co-ordinate finance and insurance welcome pack, policies and workshops with expert leads. Co-ordinate timing and attendees.
  • Oversee the transition email inbox and ensure requests are being forwarded to the correct person and functions.
  • Stakeholder relationships - working across internal and external teams to manage expectations.
  • Ensuring standards and requirements are met through conducting quality assurance tests
  • Assist the director with administrative tasks.
  • Undertaking ad-hoc tasks delegated by the director.
Skills and experience required
  • Proven project experience supporting a large programme of work in a government organisation.
  • Ability to create and maintain risk registers. Not looking for a project manager.
  • Ability to develop and maintain project plans
  • Ability to maintain project documentation, including meeting minutes, status reports and project deliverables
  • Experience with project management software tools and knowledge of project management methodologies.
  • Experienced in dealing with senior stakeholders.
