Executive Assistant - 12-month contract

Your new company

Hays are working with an established organisation in North Telford who are looking for an Executive Assistant on a fixed-term contract basis. This is a role which would provide comprehensive, proactive and professional administration support to a senior leadership team.

Your new role

As an Executive Assistant, your role would involve :

•Management of the diary (electronic) including organisation of travel, meetings.
•Managing internal and external communications in a timely and appropriate fashion.
•Preparing, collating and distributing information relating to various committees, working groups and meetings, including electronic coordination of agendas, accompanying papers, attending meetings and taking minutes and dissemination of outcomes and actions.
• Scheduling impending internal and external work requirements,
•Acting as the first point of contact for enquiries.
• Arranging online or in-person meetings with senior staff in external bodies.
• Obtaining and assembling data and other information required by the Deputy Vice-Chancellor in the course of their work, including from other parts of the University or from external sources.
•Managing associated correspondence with visitors.

What you'll need to succeed

In order to be considered for this position, you will need experience in the following:

  • Excellent academic achievement (Level 6 Honours Degree, or equivalent and demonstrable experience)
  • Previous executive or personal assistant experience at a senior level supporting an executive/senior academic.
  • A passion and the ability to manage administration efficiently and accurately with initiative and without close supervision.
  • Ability to take accurate minutes of meetings.
  • Evidence of high-level competency in Microsoft Office products and an appreciation of the role of digital technology in research.
  • The ability and drive to work flexibly under pressure, independently with minimal supervision, and the ability to prioritise competing tasks under pressure.
  • The ability to undertake desk research and systematic searches, and produce summary reports.
