Personal Assistant to Senior Director

Overview of what we're looking for
We are seeking a highly organised and proactive Personal Assistant to provide comprehensive administrative support to a Senior Director.

Key responsibilities
  • Provide comprehensive administrative support to the Senior Director in a professional, responsible, and timely manner.
  • Manage enquiries to the team, being proactive and alert to the Senior Director’s daily workload.
  • Manage the Senior Director’s diary, handle diary conflicts, and exercise sound judgement in prioritising appointments.
  • Assist the Senior Director in managing their Outlook inbox, responding to queries or actioning work in their absence (as required) and monitoring progress.
  • Support timely and efficient distribution of papers and other tasks required for meetings and decision-making.
  • Book travel, accommodation, meeting rooms, and refreshments as required; meet and greet external visitors.
  • Assist the Senior Director in processing work expenses.
  • Work closely with the Business Manager, supporting with business and workforce planning and budgeting, recruitment, business continuity, and establishment lists.
  • Build influential relationships with a wide range of internal stakeholders.
  • Arrange team meetings, hybrid awaydays, and schedule agenda items; support in the production of agendas and minutes.
  • Provide support to both the management team and Project Directors as required.
  • Provide cover for other PAs as required.

Desirable
  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Excellent organisational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to handle sensitive information with discretion.
  • Proactive and able to work independently as well as part of a team.
