Administration and Monitoring Support Officer, Ballymena, Part Time
Your New Company
Hays are working with a public service organisation to recruit for a Part-Time Administration and Monitoring Support Officer based in Ballymena.
Your New Role
- Maintain filing systems and project files.
- Handle mail, email, voicemail, and enquiries daily.
- Screen and redirect phone calls.
- Use various computer packages and develop PowerPoint presentations.
- Perform purchasing and coding duties, keeping records for staff time allocation.
- Ensure compliance with procedures and cooperate with audits.
- Prepare agendas, reports, and minutes for meetings.
- Ensure necessary papers are available for meetings.
- Prepare financial, budgeting, and monitoring reports.
- Maintain detailed database records and input project information.
- Provide enquiry services and source information.
- Track directives and maintain priority management.
- Source quotations for project activities.
- Update and distribute literature and information packs.
- Research and compile data for Freedom of Information requests.
- Support promotional activities.
- Process invoices and project claims, maintaining accurate expenditure records.
- Ensure compliance with project and programme conditions.
- Provide advice and training on claims and record-keeping.
- Conduct regular monitoring, evaluation, and site visits with grant recipients.
What You’ll Need to Succeed
- Possess a minimum of 5 GCSE’s to include Maths and English language (grade C or above) or equivalent qualifications to demonstrate numeracy and literacy.
AND Be able to demonstrate, by providing personal and specific examples, at least two years’ relevant experience in:
- Administration and Monitoring
- Working on own initiative and as part of a team.
- Excellent oral and written communication skills.
- Excellent interpersonal skills.
