Your New Role

As the Payroll Operations Manager, you will:

  • Lead the payroll team to ensure precise and timely payroll processing for all employees (around 3000 employees), including the creation and validation of payslips, statutory returns, and reports.
  • Drive the transition of payroll services in-house, spearheading the implementation of a new payroll system by April 2026, and ensuring smooth integration with HR and Finance functions.
  • Oversee team development, promoting training, knowledge-sharing, and fostering a culture of continuous improvement and exceptional customer service.
  • Stay updated on payroll legislation, pension schemes, and regulatory requirements to ensure compliance.
  • Engage in daily payroll operations to maintain practical knowledge of systems and processes, providing operational cover when necessary.
  • Liaise with internal and external auditors, providing necessary documentation and support during audits. Maintain accurate and up-to-date pension scheme administration to comply with regulatory requirements.
  • Work closely with HR and Finance teams to align payroll processes with broader Trust operations, ensuring effective inter-departmental collaboration.
  • Communicate payroll updates, changes, and compliance requirements to staff clearly and promptly.
  • Provide guidance and training to school administrators and headteachers on payroll and pension processes, fostering strong working relationships.
  • Ensure accurate payroll costing and financial reporting, supplying the Finance Department with data for budgeting, forecasting, and reconciliation.
  • Utilise payroll software and reporting tools to extract and analyse data, reconciling payroll costs with budget forecasts. Oversee the monthly data extraction process from the People XD system for payroll processing and reporting.

What You’ll Need to Succeed

To excel in this role, you should have:

  • Payroll professional qualification (e.g., CIPP or equivalent experience).
  • Proven experience in leading payroll operations, including system implementation and transitions.
  • Extensive knowledge of payroll processes, statutory requirements, and pensions administration.
  • Strong leadership and team development skills, fostering continuous improvement.
  • Proficiency in payroll software, Microsoft Office, and Google Docs.
  • Excellent communication, problem-solving, and stakeholder management skills.
  • Experience in educational or multi-site payroll management (desirable).
  • Familiarity with Teachers’ Pay and Conditions and School Support Staff pay structures (desirable).
  • Experience managing external payroll providers (desirable).
