Recruitment Assistant, Administrator, Southampton, Hybrid, £12-13/h
Your new role
- Deliver a customer-focused recruitment service using an e-recruitment platform.
- Process payroll input for new starters.
- Handle recruitment queries from managers and candidates promptly and accurately.
- Support recruitment and selection processes for schools and partner agencies.
- Prepare recruitment documentation, including adverts and candidate packs.
- Ensure recruitment processes meet deadlines and comply with statutory requirements and Council policies.
- Record and maintain documentation and records related to recruitment activities.
- Provide management information on recruitment activity and trends.
- Manage pre-employment checks and process new starter documentation for payroll.
- Ensure new starters have the necessary information for their first day.
- Update vacancy information on agencies, job sites, and internet sites.
- Support assessment activities as part of recruitment processes.
- Liaise with resourcing partners and agencies to ensure effective recruitment processes.
- Provide general support to HR & OD projects and casework activities.

- Build and sustain collaborative working relationships with managers, partners, and stakeholders.
- Deliver services to agreed standards and gather customer feedback to improve satisfaction.
- Follow Council policies and procedures and undertake continuous improvement activities.
- Escalate risks and issues impacting performance or reputation.
- Participate in team and Council-wide activities to improve involvement and communication.
- Use appraisal and performance processes for personal development and capability growth.
- Take responsibility for personal development, including continuous professional development.
- Work with the team to develop change readiness.
What you'll need to succeed
Qualifications, Knowledge, Experience, and Skills:
Education:
- GCSE English Language and Maths – Grade 4 or above.
- Certificate in HR Administration or equivalent work experience.
- Experience:
- Practical experience with pre-employment checks.
- Delivering excellent customer service in high-volume environments (recruitment experience preferred).
- Understanding recruitment and selection processes, business administration, and best practices in large organisations.
- Using e-systems, social media, and internet platforms for recruitment.
- Providing telephone and email support to recruiting managers.
- Providing face-to-face support to in-house managers and partners (e.g., schools).
Skills:
- High attention to detail and ability to meet multiple recruitment/payroll deadlines.
- Understanding statutory legislation related to recruitment.
- Excellent IT literacy, including self-service digital platforms, applications, and MS Office.
- Excellent verbal and written communication skills, with the ability to present data and information clearly.
- Understanding equality issues in the workplace.
- Knowledge of safeguarding and safer recruitment requirements.
- Experience running basic management reports using e-systems.
