Executive Assistant role Permanent in Plymouth

Your new company

Working for a local education provider in the area of Plymouth. This is a full-time permanent role with standard office hours Monday - Friday.

To ensure that the business achieves its strategic and operational objectives through :
- Working closely with the Principal to formulate strategies pertinent to the aspirations and needs of the business and ensuring that these are implemented when formally approved by the Executive Team.
- Provision of professional administrative advice to and support for the Principal and Executive members, including the acquisition of information and its interpretation.
- Ensuring Executive compliance with institutional policies and procedures.
- Management of the support staff in the Principal’s Office and its associated units (Centre Principals’ offices).
- Ensuring continuity of information, knowledge and systems at Executive level as and when senior officers change.

Your new role

1. To work with the Principal on the strategic and operational planning processes and all matters related to these.

2. To facilitate the provision of a professional administrative service for all areas of the Executive activities.

3. To actively participate in the development of policy, creative initiatives, projects, bids and new strands of work which are consistent with the businesses strategic direction with due regard to the financial implications, and to be responsible for driving forward and managing specific elements of those identified by the Principal.

4. To represent the Principal and Executive internally and externally as appropriate, assimilating information or contextual data and acting as appropriate.
To include representing the Principal as an official Board Member on Committees suggested by the Principal.

5. To manage the administrative, clerical/secretarial and technical staff in the Principal’s office and to have oversight of the operational and administrative aspects of the other Executive members.

6. To formulate and prepare the Strategic and Operational Plans, translation of the Strategic Plan into project tasks and the integration of the various divisions aspirations within the College plans to ensure a corporate vision with due regard to academic coherence and financial probity.

7. To manage the operation of and compliance with company policies and procedures, and the development and implementation of policies and procedures to ensure the adoption, promotion and dissemination of good practice in the administrative work of the Executive.

8. To have oversight and provision of servicing for all committees, boards, working parties and review groups associated with the Executive ensuring that the appropriate action is taken to give effect to decisions
9. To draft PR responses and quotes for the Principal and attend external events in substitution for the Principal as required. Approve Marketing/PR material for the Principal, as required.
10. To work proactively with colleagues to formulate a responsive and effective Central Services (Office Services) unit, and act as Chief Administrator for related College activities.


What you'll need to succeed

Qualification at level 5 or above

Literacy and numeracy level 3 or above
Experience of working within a FE setting at a senior level would be advantageous
Ability to motivate and inspire others
A friendly, encouraging and positive approach with students
Good organisational skills and accurate record keeping
Ability to work under pressure whilst maintaining accuracy and meeting deadlines
Ability to work on own initiative
Flexible team player
