As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of the Board of Governors and supporting the organisation's governance and compliance functions.

Your new role

As the Clerk to the Board of Governors, you will provide high-quality administrative support for the Board of Governors in their duties and function as Trustees. Reporting primarily to the Director of Governance, Risk, and Compliance, you will also work closely with other senior leaders to support all Board-related activities.

Key Duties and Responsibilities:
  • Organise Governors’ Board and Sub-Committee meetings.
  • Prepare, collate, and circulate agendas, papers, and reports prior to meetings.
  • Attend all meetings of the Board, Sub-Committees, and subsidiary companies.
  • Take minutes of all meetings and oversee minute approval.
  • Collate Action Plans from meetings and communicate with responsible staff.
  • Develop and maintain an electronic filing and information flow system.
  • Handle official correspondence and contracts.
  • Schedule Board and Committee meetings and track information flow.
  • Support the Annual Audit, Accounts Signing, and Reporting processes.
  • Provide joint support to ensure compliance obligations are met.

What you'll need to succeed

  • Experience of providing administrative support to Senior Managers and Board members, including organising large meetings and taking minutes at Board level.
  • Highly organised and resilient, with the ability to multitask and meet deadlines in a fast-paced environment.
  • Excellent verbal and written communication skills, with the ability to work effectively with people at all levels.
  • Ability to work constructively and suggest improvements.
  • Positive and proactive “can do” attitude, with the ability to work autonomously and as part of a team.
