A well-established and fast-growing organisation in Aylesbury are seeking an experienced Executive Assistant to join them.

Your new role

As Executive Assistant and the right hand of the Managing Director, you will play a crucial role in ensuring the smooth running of the business operations and their personal investments and property portfolios. Your excellent communication skills, attention to detail, and ability to multitask will be essential in managing the Managing Director's busy schedule and providing administrative support.

Key Responsibilities:
Business:
  • Providing wide-ranging support to the Managing Director in order to leverage his effectiveness and make his life easier!
  • Manage the Managing Director's calendar, schedule appointments and meetings, and ensure that they are well-prepared for all engagements.
  • Facilitate communications between the Managing Director and his direct reports, and act as point of contact for the wider team as appropriate.
  • Organise and support the Managing Director with developing commercial partnerships in the UK and overseas.
  • Manage communication and correspondence on behalf of the Managing Director, including responding to emails, drafting letters and memos, and handling phone calls.
  • Act as confidante to the Managing Director, exercising the highest levels of confidentiality and discretion.
  • Prepare minutes and action trackers meetings, including Board meetings. Prepare reports and spreadsheets as requested.
  • Maintain and organise files and records for the Managing Director, ensuring that they are easily accessible and up to date, including business contracts.
  • Manage and prioritise incoming requests and projects, delegating tasks where appropriate, and ensuring that deadlines are met.
  • Assist the Managing Director in preparing for meetings, including drafting, and distributing agendas, presentations, and other relevant documents.
  • Supporting the Managing Director with recruitment of senior staff, handling confidential staff related matters, including staff appraisals, grievances, disciplinary investigations, recruitment, drafting reports and correspondence.
  • General admin duties including holiday planning for the team, processing personal expenses, company credit card expenses, raising purchase orders, maintaining document appropriate filing.

Personal:
  • Assist with the administration of the Managing Directors pension, liaising closely with his appointed financial advisors.
  • Assist in the preparation of the Managing Director's Self-Assessment Tax Return, liaising closely with the tax accountant and HMRC, ensuring timely submission of tax returns and payments.
  • Oversee the Managing Director's property management, including leaseholds, arranging maintenance and repairs, and expenses.
  • Maintain records of all Managing Directors' personal investments
  • Maintain a high level of confidentiality and professionalism in handling personal information.

Prior experience as an executive assistant or in a similar role is essential for this position, you will have experience of office procedures and protocols, managing calendars, scheduling appointments and travel arrangements. Along with experience in handling confidential information and sensitive situations and working with senior-level executives and stakeholders.

What you'll get in return

As the Executive Assistant, you will receive the following:

Salary: £38,000 - £42,000.
Hours: 08:30–17:00 or 09:00–17:00 with 1 hour lunch
